About the Position

We’re looking for a moderately-experienced (0-3 years) detailed professional who is passionate about helping nonprofits. Our ideal candidate will be an organized, quick learner who is mission-driven. Slackers need not apply! 😉

The Project Coordinator & Administrator will provide project management and administrative support to our team to ensure we can provide the best quality services to nonprofit organizations. This position will involve plenty of planning, time management, monitoring progress of projects, and communicating with clients to ensure they’re up to speed on progress. Bring a positive attitude, an attention for detail, and a love of planning and come help us save the turtles!

Responsibilities

  • Oversees the progress of projects, such as the starting of new nonprofit organizations (includes the documents through the process of applying for incorporation status with the Secretary of States offices, tax-exemption, other types of exemptions, etc.)
  • Provides administrative support to our transactional attorneys.
  • Determines and calendars deadlines for various projects.
  • Communicates with Clients via email and phone or video calls about the status of their projects.
  • Inputs data into the various systems used by the attorney(s) including Asana and Salesforce (no prior experience needed with either system, training will be provided).
  • Reviews, summarizes, and prepares correspondence and applications.
  • Enters billing and time entry data into firm system in a timely manner.
  • Works independently to bring team members together to efficiently and effectively get projects completed on time.
  • Requires strong organizational skills, the ability to manage multiple projects simultaneously and a willingness to be flexible in a fast-paced environment.
  • Ensures efficient and timely communication with colleagues and team members.
  • Other responsibilities as assigned.

 

Qualifications

  • 0-3 years of experience in project coordination, administrative duties, or related
  • Strong organizational, time management and planning skills.
  • High attention to detail and care for the accuracy of work.
  • Excellent relationship-building skills and the ability to work collaboratively with colleagues and clients across various disciplines and cultures
  • Experience with compliance-related matters in highly regulated space (healthcare, law, etc.) is a plus, but not required
  • Exemplary personal and professional integrity and business ethics, as well as respect for others
  • Proficient in all Microsoft applications (including Word, Excel, and PowerPoint),
  • Proficiency with Google G Suite for Business (Gmail, Google Docs, etc)
  • Experience with Dropbox and/or Salesforce is a plus, but not required
  • Excellent communication skills, both oral and written
  • Demonstrated ability to be self-directed and a self-starter
  • High degree of flexibility
  • Positive and “can do” attitude

Education

  • BA/BS Degree preferred

Compensation and Benefits

This full-time position pays between $45,000 and $55,000 annually. Additional benefits include options such as our 403(b) Retirement Savings Plan with a 5% employer match, a QSE-HRA (2021 limits: $5,300/individual or $10,700/family), paid time off, paid opportunities for professional development and continuing education, and other personal and professional benefits.

Work Location

Charitable Allies is located next to the Pyramids on the northwest side of Indianapolis, at 9100 Purdue Road, Suite 115, Indianapolis, IN 46268. The first 90 days will be fully in-person. After the initial training period, remote work is possible for up to 2 days per week, depending on performance and the input of the direct supervisor.
